Note-taking · Dictation workflow
OneNote dictation on Windows, Mac and the web Speak the point, then tag and file it in OneNote.
OneNote has a Dictate button of its own. Click in a note, select Home > Dictate and start talking once the button switches on. Microsoft documents it for OneNote on Windows and Mac and for OneNote for the web, signed in to Microsoft 365 and online. If you are still in OneNote for Windows 10, that app is read-only now and takes no dictation. This page covers which OneNote you have, the voice commands, what to do when Dictate is missing or silent, and VoiceSnap Pro: hold one key while you say a point, and when you let go, OneNote gets it as punctuated text in the container you clicked.

How to dictate notes in OneNote
OneNote’s Dictate button sits on the Home tab. Microsoft gives the same steps for OneNote for Microsoft 365 on Windows and Mac, OneNote 2024, 2021 and 2016, and OneNote for the web: be signed in to Microsoft 365, on a device with a microphone and a working internet connection. On Windows, check which OneNote you have first. One with a File menu at the top is the current app; one without is OneNote for Windows 10, which has been read-only since October 14, 2025. Windows voice typing and Mac Dictation are the fallback, and both type into any OneNote page you can edit.
OneNote Dictate (Windows, Mac and web)
- Open OneNote signed in with your Microsoft 365 account. On Windows, use the OneNote app with a File menu, not OneNote for Windows 10. Dictate also needs a working mic and a steady internet connection.
- Click inside the note container you want to add to. Click on blank space instead, and what you add there gets a new container.
- Select Home > Dictate and give the button a moment to switch on. A red circle on top of it means Dictate is recording.
- Speak, and the words appear on the page while you talk.
- Say punctuation as you go, such as “comma”, “period” or “colon”, and “new line” to drop to the next line. Or open the gear icon and turn on Auto Punctuation, where your language has it.
- Say “pause dictation” to pause or “exit dictation” to finish. In OneNote for the web, Alt + ` (backquote) or the Mic icon on the floating menu resumes.
Windows voice typing (Windows key + H)
- Click inside the note container where the words should go. Voice typing needs a cursor in text, a working microphone and an internet connection.
- Press Windows key + H. Windows 11 shows “Listening...” when you can start; Windows 10 opens its dictation toolbar instead.
- On Windows 11, say “new line” or “new paragraph” for a break, or let the gear icon’s Automatic punctuation setting add the marks for you.
- To stop, click the microphone in the voice typing menu or say “stop listening”, then read the note before you click anywhere else. On Windows 10, the command is “stop dictation”.
Mac Dictation (macOS)
- Once: in System Settings > Keyboard, turn on Dictation and click Enable. The Shortcut menu there shows the key that starts it, such as Press Fn twice.
- In OneNote, click inside the note where the words should go. If a Draw pen is selected, press Esc first so the click places a cursor, not ink.
- Press your Dictation shortcut or the Microphone key and say the note. Where your language supports it, Dictation fills in commas, periods and question marks on its own.
- Say “new paragraph” between points. OneNote gets the break when Dictation ends, not while you talk.
- Press Escape when the point is done. Dictation also gives up after 30 seconds of silence; press your shortcut again to carry on in the same note.
Where the built-in option stops
- A OneNote from Office 2016 or 2019 for Windows shows no Dictate button unless you have Microsoft 365.
- OneNote for Windows 10 has been read-only since October 14, 2025, so you can view notes there but not type or dictate into them.
- In English, OneNote’s Dictate on a computer offers “new line” and no “new paragraph” command, so press Enter to start a new paragraph.
- Dictating lists, tables and formatting, such as “start numbered list” or “bold”, works only in OneNote for the web.
- Dictate needs a reliable internet connection, and on a managed network it can’t record if login.windows.net or websockets.platform.bing.com is blocked.
- Transcribe, which turns a recording into text, is only in OneNote for Microsoft 365 on Windows, with an active subscription.
| Feature | OneNote Dictate | VoiceSnap Pro |
|---|---|---|
| Where it works | OneNote on Windows, Mac and the web, and other Microsoft 365 apps | Wherever you can type on a Windows PC or an Apple silicon Mac: the OneNote app, OneNote in a browser, and your email, chat and forms |
| What you need | A Microsoft 365 sign-in, a mic-enabled device and a reliable connection | A VoiceSnap Pro account, a mic and an internet connection. No Microsoft 365, and the account opens with a free allowance and no card |
| Start and stop | Home > Dictate. Say “pause dictation” or “exit dictation”. Microsoft’s OneNote help gives no shortcut to start it; in OneNote for the web, Alt + ` resumes it | Hold Right Option (Mac) or Right Alt (Windows) for as long as you speak; releasing it ends the recording. The key is configurable |
| When text appears | Live, on the page, as you speak | In one piece when you let go, as soon as it is transcribed |
| Voice commands | Punctuation, “new line”, “delete that”, symbols and emoji. Lists, tables, formatting and comments by voice in OneNote for the web only | None. It punctuates for you; add structure with Enter, OneNote’s indent keys and tags |
| Fillers and tricky words | Microsoft’s article mentions no filler removal. In OneNote for the web, it marks words it may have misheard and offers alternates, or Ignore | On by default, Clean up dictation drops “um”s, repeated words and the slips you fix out loud, in dictations up to about five minutes. Personal vocabulary helps it spell course codes and client names, on every device |
| Recordings and audio files | Transcribe, in OneNote for Microsoft 365 on Windows with an active Microsoft 365 subscription, records a meeting or takes an .mp3, .m4a, .mp4 or .wav upload and returns a transcript with speakers labeled | No file transcription. VoiceSnap Pro types only what you say live, and its own voice notes save to VoiceSnap Pro’s Notes, not to OneNote |

How to dictate in OneNote with VoiceSnap Pro
First install VoiceSnap Pro, sign in and complete the microphone and system-permission prompts. Then keep the app running while you write.
Read the getting-started guideClick where the note belongs
With VoiceSnap Pro running, open the page in OneNote, which needs no add-in, and click inside the note container you want to add to, or on blank space for a new one. If a pen is active, switch back with Type on the Draw tab, or Esc on a Mac. Click first, then hold: a click during the hold cancels the recording. If OneNote’s own Dictate is on, say “exit dictation” first, so the same words don’t arrive twice.
Talk through one point, then let go
Hold the key, Right Option on a Mac and Right Alt on Windows by default, and say one point: a decision, a takeaway or the next step. Let go, and the punctuated text arrives in that container in one piece. On Windows, holding Right Alt won’t open OneNote’s ribbon KeyTips. If you say “um”, repeat a word or fix a name mid-sentence, Clean up dictation (on by default, Settings → AI) drops the extra words and keeps the rest of your words as you said them. It skips anything longer than about five minutes or shorter than three words.
Structure it with OneNote’s keys
VoiceSnap Pro adds no paragraph breaks and follows no spoken commands, so saying “start list” types those words. Press Enter (Return on a Mac) for the next paragraph and Shift + Enter (Shift + Return) for a line break. To indent a point under the one above, press Tab at the start of the new line before you dictate it: on Windows and the web, Tab straight after text starts a table. On Windows or a Mac, type * and a space at the start of a line for bullets. On Windows and the web, Ctrl + 1 marks a line as a To Do.
The human part
Make the draft yours.
Check owners and dates before you share the page. Clean up dictation dropped the “um”, the repeated “we” and Maria, the name you corrected, so confirm Priya owns the label check. Then put the missing quote on its own line and tag it as a To Do.
- Read back names, dates and amounts before you share the page. A misheard figure looks just as tidy as a correct one.
- Paste links and reference numbers instead of saying them. On Windows, Ctrl + Shift + V pastes plain text without the source’s formatting.
- Put the names you use every week, such as course codes, lecturers or part numbers, in personal vocabulary once. Every computer you sign in on uses the same list.
- Keep one point per line, so each can be indented or tagged on its own. To indent a line you already dictated, press Alt + Shift + Right arrow on Windows and the web, or Command + ] on a Mac.
Choose what fits
When OneNote’s own Dictate is enough
OneNote’s Dictate is the better fit when you have Microsoft 365 and like to watch each word land while you speak. In OneNote for the web, it can also bold text, make lists, edit tables and add comments by voice. If the button is missing, your computer’s own dictation types into the same note, and Windows 11 voice typing, like Mac Dictation, understands “new paragraph”. For a meeting or lecture you already recorded, use Transcribe in OneNote for Microsoft 365 on Windows: none of the live dictation tools on this page can read an audio file.
Where VoiceSnap Pro fits
Choose VoiceSnap Pro if you have no Microsoft 365, or if the notes you start in OneNote turn into emails, chat messages and browser forms, and you want one held key for all of them on a Mac or a Windows PC. Dictated points come out without the “um”s and the slips you corrected, and personal vocabulary helps it spell course codes and project names the way you write them. Two things it won’t do: run OneNote’s voice commands, or transcribe a recording you already have. You need to be online while you dictate, and you begin on a free allowance, with no card.
